How to choose appointment software: a 12-question checklist
A 12-question checklist for choosing appointment scheduling software: data security, GDPR, reminders, calendar sync, pricing, data export and support.

The short answer
To choose appointment scheduling software, check how it protects client data first, then evaluate reminders, two-way calendar sync, video meeting links, payment options, a branded booking site, a mobile app, transparent pricing, data export, support quality, language options and room to grow. Testing these twelve questions with a real booking during a free trial gives the most reliable answer.
For therapists, dietitians, coaches and salon owners, feature lists look alike and the decision often shrinks to price. The real differences show up in the details. This guide does not rank tools; it gives you a neutral framework to match software to how you work.

1. How does the software protect client data?
Intake forms often capture more than a name: symptoms, medical history, eating habits. Article 9 of the GDPR places data concerning health among the special categories of personal data, which receive the strictest protection. For therapists and dietitians, security is the first question, not the last.
Ask every vendor:
- Is data encrypted in transit (TLS/SSL) and at rest? Are sensitive fields such as contact details and form answers encrypted individually?
- In which country, and on which infrastructure, is data hosted?
- Can you control who on your team sees what?
- Is multi-factor authentication available for your account? The US Cybersecurity and Infrastructure Security Agency (CISA) notes that users who enable MFA are significantly less likely to get hacked.
Look for a plain statement such as "your data is yours", backed by a specific mechanism.
2. How does the tool support GDPR, or HIPAA if you are in the US?
Under GDPR you are the controller and the vendor is your processor. Article 28 says you may use only processors that provide "sufficient guarantees" of appropriate technical and organisational measures, under a written agreement. Choosing software is part of your own compliance.
In practice, check:
- Does the booking flow show a privacy notice and record consent?
- Are consent records archived so you can prove them later?
- If data leaves the EEA, which safeguards apply (adequacy decisions, standard contractual clauses)?
- Is a data processing agreement available?
If you practise in the United States and are a HIPAA covered entity, HHS requires a business associate agreement with any vendor that creates, receives, maintains or transmits protected health information on your behalf. Ask about this before storing clinical details.
3. Which reminder channels does it offer, and how flexible are they?
The evidence for reminders is strong. A Cochrane systematic review of healthcare appointments found attendance of 78.6% with text message reminders versus 67.8% with no reminder (seven studies, 5,841 participants, moderate-quality evidence).
Evaluate:
- Channels: email, SMS, WhatsApp, push notifications. Which ones do your clients actually read?
- Timing: can you choose how many hours before the appointment a reminder goes out?
- WhatsApp done properly: business messages sent outside WhatsApp's 24-hour customer service window must use Meta-approved message templates. Sending reminders by hand from your personal number does not scale.
- Quotas: how do monthly message limits change by plan?

4. Is calendar sync one-way or two-way?
One-way sync only copies bookings into your personal calendar. Two-way sync also reads your personal events as busy time and blocks bookings in those slots. During a trial, add an event to Google Calendar and confirm the slot disappears from your booking page. The Google Calendar integration guide shows how this works in Ranovu.
5. Are video meeting links generated automatically?
If you run online sessions, creating a Zoom or Google Meet link by hand for every booking is slow and easy to get wrong. Look for links that are created automatically once an appointment is confirmed and sent to the client. If you work both online and in person, check for hybrid booking, where each service can be offered in either format.
6. How are payments handled, and do they work where your clients are?
Payment needs vary by profession (a salon deposit, a coaching package, a therapy session paid afterwards) and by country, because many card processors only support certain markets. Ask:
- Which payment provider is used, and does it accept cards issued in your clients' countries?
- Are bank transfer or pay-later options available?
- Does payment status appear on the appointment record?
- Are transaction fees charged on top of the subscription?
7. Can you have your own branded site and domain?
When a client clicks your booking link, do they see your brand or the software's? A branded page with your services and answers to common questions looks more trustworthy in your Instagram bio and in search results.
Check whether you can start on a subdomain (for example yourname.provider.com) and move to your own domain later, and whether SSL is handled automatically. See custom domain booking for how this can work.
8. Is there a real mobile app, or just a mobile-friendly site?
A responsive dashboard is not the same as an iOS and Android app with instant push notifications for new bookings, cancellations and payments, which matters when you move from session to session all day.
9. Is pricing clear and predictable?
Signs of transparent pricing:
- Plan prices are published on the website, in one currency.
- Booking, message and storage limits for each plan are listed in a table.
- It is clear what happens when you hit a limit: add-on credits, automatic upgrade, or a pause.
- Monthly and annual prices are shown, along with whether taxes are included.
10. Can you export your data?
GDPR Article 20 gives individuals the right to receive their data "in a structured, commonly used and machine-readable format", and a good vendor extends the same courtesy to you as a customer. Ask:
- Can appointment records be downloaded as PDF or spreadsheet files?
- Is there a bulk export, or is it by request?
- How long is data kept after you close your account, and how is it deleted?
11. How does support work?
During the trial, send support a real question and time the answer. Also check for searchable, up-to-date documentation.
12. Does it cover your languages, and will it scale with you?
If you serve international clients, your booking page and notifications should be available in their language. For scalability, check:
- Can you add more calendars, for a second location or a colleague?
- Do service limits and monthly booking caps leave room to grow?
- When you upgrade, do your site and data stay exactly as they are?
How do you test booking software during a free trial?
Instead of reading feature lists, run this five-step test:
- Book an appointment from your own phone, as a client would, and count the steps.
- Cancel and reschedule it, and check each notification that arrives.
- Add an event to Google Calendar and confirm the slot closes on your booking page.
- Review how intake form answers appear in the dashboard and who can see them.
- Email support a question and note the response time.

Where does Ranovu stand on this checklist?
A factual summary of how Ranovu answers these questions:
- Security and privacy: client contact details and your notes are stored encrypted, and every account has its own encryption key (AES-256). Your notes are never shown to clients, every booking form includes a consent step that can't be switched off, and files clients upload are scanned for malware. See the security documentation. No compliance or certification claim is made.
- Reminders and calendar: WhatsApp reminders via Meta-approved templates, email and mobile push notifications, two-way Google Calendar sync and automatic Google Meet links on Premium and above (30-day trial on the free plan), and automatic Zoom links on Ultra.
- Payments: Ranovu's built-in payments are not designed for clients outside Turkey, so plan to collect payment outside Ranovu; bookings can be set as pay at the appointment.
- Site and languages: the setup assistant, Roon, builds and publishes a booking site for your profession through a short chat, and on Ultra you can connect your own domain with automatic SSL. The interface is available in English and Turkish.
- Pricing, scale and support: You can start free forever with 30 bookings a month and no card, and plans scale from 1 to 4 calendars and up to unlimited bookings. Prices are in USD on the pricing page, with limits in the plans guide. Appointment summaries download as PDF (Premium and above). Support is by email (help@ranovu.com) and contact form.
For profession-specific setups, see our pages for psychologists, dietitians, life coaches and hair salons. The mobile app guide covers notifications in detail.
Frequently asked questions
- What is the most important factor when choosing appointment scheduling software?
- For anyone who collects health or personal details at booking, data protection comes first: encryption in transit and at rest, where data is hosted, and how consent is recorded. After that, weigh reminders, calendar sync and pricing transparency.
- Is free scheduling software good enough for a solo practice?
- It can be, if you take a modest number of bookings and do not yet need a custom domain or advanced integrations. What matters is that you can upgrade later without migrating your clients, history or booking page.
- Does using a GDPR-compliant tool make my practice compliant?
- No. Under GDPR you remain the controller, and the software vendor is your processor. Article 28 requires you to use processors that give sufficient guarantees and to have a written agreement with them. The tool helps; the responsibility stays with you.
- Do I need a BAA if I am a US therapist?
- If you are a HIPAA covered entity and the vendor will create, receive, maintain or transmit protected health information for you, HHS requires a business associate agreement. Ask any vendor directly whether they sign one before you store clinical details.
- How should I test booking software during a trial?
- Book an appointment as if you were a client, then cancel and reschedule it and check every notification. Add a personal event to Google Calendar and confirm the slot disappears from your booking page. Finally, email support and note how long a reply takes.
