Taking bookings from Instagram: profile setup guide
Move Instagram DM booking requests to a proper booking page: bio link, Story link sticker, pinned posts, QR codes and click tracking, step by step.

The short answer
The cleanest way to take bookings from Instagram is to stop negotiating times in DMs and add a link to a booking page that is connected to your calendar. Put that link first in your bio, repeat it in Stories with a link sticker, and explain it in a pinned post and a highlight. Clients choose an open slot themselves; you simply confirm.
This guide is for therapists, dietitians, barbers, hair stylists, beauty studios and coaches who get a large share of their booking requests on Instagram. It focuses on setting up the profile. If you are looking for the booking system behind the link, the Instagram booking link solution page covers that side.
Why does booking through DMs stop working as you grow?
DM booking feels personal and quick when requests are few. As volume grows, the same problems repeat:
- Your availability lives in your head. Every thread restarts the "Tuesday 2 pm is taken, does 4 pm work?" loop.
- Response time decides the booking. A message that arrives during a session, in the evening or on a weekend waits, and the client keeps looking.
- There is no record. Who, which service and what time sit inside a chat. Copying them into a calendar by hand invites mistakes.
- There are no reminders. A confirmed time gets buried in a conversation, and no-shows become more likely.
- Privacy is unclear. Health, nutrition or personal details pile up in account messages, and who can read them depends on who has access to the account.
We cover the WhatsApp version of the same problem in Still running bookings on WhatsApp?
A line worth keeping: DMs are for conversation; a booking page is for the record. Separate the two and both your inbox and your no-show risk get lighter.
How do you add a booking link to your Instagram profile?
You add a profile link from the edit screen in the Instagram app. The steps are generally:
- Go to your profile and tap Edit profile.
- Open Links.
- Choose Add external link.
- Paste the full address of your booking page and give it a short title, such as "Book".
- If you have more than one link, drag the booking link to the top.
- Save, then check the link from another account or a logged-out browser to make sure it opens.
Instagram introduced multiple profile links in 2023 and lets you reorder them by dragging (TechCrunch). The number of links available has been described differently over time depending on account type and subscription status, so plan around what your own account shows and keep the booking link first either way.
Two details matter:
- Instagram opens links in its in-app browser by default (TechCrunch). A booking page that loads quickly on mobile and does not require a login makes a real difference here.
- Link to the page where service and time selection begins, not to your home page.
Is Instagram's "Book" button still an option?
Business and creator accounts can add an action button, such as Book or Reserve, to their profile. These buttons work through booking providers that Instagram has partnered with: you set one up under Edit profile > Contact options > Add an action button, choose the provider, and only one action button shows on the profile at a time (Square Support, Acuity Scheduling Help Center).
In practice, if your booking system is not on that list, the button may not be available to you. A bio link works on every account and shows your own brand's address.
How do you use the link sticker in Stories?
The link sticker sends viewers from a Story straight to your booking page. Instagram opened the sticker to all accounts in October 2021, noting that new accounts and accounts that repeatedly break its rules may be restricted (Instagram).
- Capture or upload your Story.
- Tap the sticker icon in the top bar and choose Link.
- Paste your booking address and, if you like, change the sticker text to something clear such as "Book a time".
- Place the sticker where it is easy to read, then share.
Keep Story copy simple. "Wednesday and Thursday evenings are open this week. Tap the link to book." is enough.
Why do highlights and pinned posts help?
Stories disappear after 24 hours; highlights and pinned posts are your permanent storefront.
| Place | What goes there | Purpose |
|---|---|---|
| "Book" highlight | 3 to 4 Stories explaining how booking works, with a link sticker | Show new followers the process |
| "Services" highlight | Service, length and a short description | Answer "how long does it take?" up front |
| Pinned post | "How to book" carousel | Direct people from the first thing they see |
| Pinned post | Cancellation and rescheduling policy | Set expectations early |
After publishing, check that the link sticker still opens from inside your highlight. Caption links are not clickable for most accounts; in 2026 Meta began testing clickable caption links for some Meta Verified subscribers (Engadget). "Booking link in profile" is still the safest line for a pinned post.
What should you write in your Instagram bio?
The Instagram bio is limited to 150 characters (Metricool). Use them to answer three questions: who you are, who you serve, and how to book.
Example bios:
- Therapist: "Licensed therapist · Adults, individual sessions · In person and online · Book via the link below"
- Dietitian: "Registered dietitian · Sports and weight management · Video consultations · Booking link below"
- Barber: "Classic cuts and beard work · Downtown · Tue to Sun · Book: link"
- Coach: "Career coach · One-to-one sessions · Book an intro call via the link"
Avoid "DM to book". Offering two channels leaves people unsure which to use. Keep DMs open for questions and send bookings to the link. For profession-specific setups, see appointment software for psychologists and booking for hair salons.
How do QR codes fit into an Instagram booking flow?
A QR code connects the physical places people meet you (a salon mirror, a clinic entrance, a business card, a flyer) to the same booking page. What matters is that the QR code points to the same address as your Instagram link, so you maintain one page and your numbers stay in one place.
- Generate the QR code from your booking page address, not your Instagram profile.
- Print the web address under the QR code as a fallback.
- Use different parameterized addresses for different placements if you want to compare them (see below).
The QR code booking page walks through in-store use.
How do you measure clicks from Instagram?
Measure on three layers:
- Instagram insights: Professional accounts show external link taps under profile activity. Link sticker taps appear in each Story's insights.
- UTM parameters: If you use an external analytics tool such as Google Analytics, add source details to the end of your link. Google recommends at least
utm_source,utm_mediumandutm_campaign(Google Analytics Help). Example:...?utm_source=instagram&utm_medium=bio&utm_campaign=booking. - Your booking system: Compare booking-page visits with bookings created over the same period.
A rule worth keeping: Taps show interest; bookings show results. Read them together, over the same dates.
One branded link or a link-in-bio page?
Link-in-bio tools collect many links on a single page. That makes sense for accounts with multiple products, content and campaigns. For a professional who works by appointment, it often adds an extra screen.
| Criterion | Direct booking link | Link-in-bio page |
|---|---|---|
| Taps to reach booking | One | At least two |
| Address people see | Your brand | The tool's domain |
| Updating | One page | Two places |
| Best for | Bookings are the main goal | Many different destinations |
If your account can show more than one link, a balanced setup is: first link to your booking page, second to your website or content. An address that carries your own name, such as your own domain, also shows clients exactly who they are dealing with.
What does Ranovu provide here?
- A branded booking site and link: Your site is published on a subdomain such as
yourname.ranovu.com, with the booking page at/randevu. On the Ultra plan you can connect your own domain (Domain guide). - Copy the link from your dashboard: After publishing, use "View site" or "Copy link" at the top of the dashboard and paste the address into your bio (Getting started).
- Service-specific links: An address like
/randevu?service=service-namesends people from a Story or QR code straight to one service. - Confirmations and reminders: Bookings are confirmed and reminded through approved WhatsApp templates and email, and clients do not need an account to book.
- Data protection: Client contact details and your notes are stored encrypted. Booking details live in your dashboard, not in a DM history. Visits and bookings appear in analytics (basic analytics on Premium and above).
You can start on the free plan; plan details are on the pricing page.
Frequently asked questions
- Where should I put my booking link on Instagram?
- In the Links section of Edit profile. If your account can show more than one link, drag the booking link to the top so it is the first one visitors see.
- Why is the link in my post caption not clickable?
- Instagram does not make caption links clickable for most accounts. In 2026 Meta began testing clickable caption links for some Meta Verified subscribers, so your bio and Story link stickers remain the reliable places for a booking link.
- Can I use Instagram's Book button with any booking site?
- Profile action buttons work through booking providers that Instagram has partnered with. If your provider is not on that list, the dependable option is the booking link in your bio.
- Should I use a link-in-bio page or link straight to my booking site?
- If bookings are your main goal, a branded link that opens your booking page directly removes an extra screen. If you have many destinations, keep the booking link in the first position.
- How do I measure bookings that come from Instagram?
- Check external link taps in your professional account insights, add UTM parameters to the link, and compare visits and bookings in your booking system for the same date range.
